• Login and account identifiers
• Organisation or company details
• Role and membership information

We do not store plain-text passwords. Authentication credentials are processed using the application’s security and identity systems.

Workspace and application data

• Tasks, projects, collections, comments, and activity records
• Assignments, due dates, reminders, and workflow information
• Files, attachments, and other content submitted through the application
• Organization, membership, permission, and role information

Communications and integration data

When relevant features are enabled, we may process email notification and delivery information; WhatsApp conversation, message, contact, media, delivery, and webhook information; support communications; and records needed to prevent duplicate processing and maintain reliable delivery.

Technical, security, and usage information

We may process basic request, browser, device, operating-system, login, authentication, session, security, audit, diagnostic, error, feature-usage, and performance information to prevent fraud and abuse, maintain security, and operate the application.

We use cookies or equivalent browser storage when necessary for authentication, session security, fraud and abuse prevention, user preferences, and essential application functionality.

Website analytics

We use Google Analytics on our public website only when you allow analytics cookies. It helps us understand how visitors use the site and how we can improve its performance and content.

Analytics is limited to our public marketing website and is not used to track activity inside authenticated MOOI ERP workspaces.

You can decline analytics or change your choice at any time through Cookie preferences.

Google provides the analytics service and may use cookies or similar browser technologies when analytics is enabled.

Demo-request Information

When you submit the public /demo form, the application processes:

• First name and optional last name
• Company or organisation name
• WhatsApp number
• Submission source
• An IP-derived privacy-protective hash
• Browser or user-agent information
• Submission timestamp
• Generated submission identifier

This information is used to process and respond to demo requests; route requests to the appropriate internal team; help prevent duplicate or abusive submissions; maintain basic security and audit records; and support follow-up communication related to the request.

The /demo form does not currently collect

• Email
• Free-form message content
• A separate consent-confirmation timestamp

How We Use Information

We process personal data for operating and securing the service; managing accounts, tenants, memberships, roles, and permissions; storing and processing workspace content; sending service notifications and requested communications; responding to demo requests and support communications; preventing fraud and abuse; monitoring reliability and performance; maintaining audit records; enforcing plans and entitlements; and meeting applicable legal or regulatory obligations.

We do not sell personal data or use customer workspace data for unrelated advertising.

Service-provider Sharing

We may share limited personal data with service providers that support cloud hosting, databases, object and file storage, email delivery, WhatsApp or messaging services, security and anti-abuse services, application monitoring, and technical support, as necessary to operate the application.

We may also disclose information when required by law, to investigate fraud or security incidents, to protect rights and safety, or as part of a lawful business transfer subject to appropriate protections. We do not share personal data with advertisers for their independent marketing use.

Data Storage and Processing Locations

Personal data may be processed using approved infrastructure and service providers in different regions, depending on configuration and provider architecture.

We use reasonable technical and organisational safeguards appropriate to the system design and provider capabilities.

Data Security

We use reasonable technical and organisational safeguards designed to protect personal data, including authentication and access controls, role-based permissions, organization data isolation, database row-level security, encryption in transit, secure credential handling, audit logging, rate limiting, restricted administrative access, and monitoring.

No electronic system can be guaranteed completely secure. Users should protect their credentials and report suspected unauthorised access promptly.

Retention

Data is retained only for as long as reasonably needed for service operation, demo follow-up, security, audit, dispute resolution, and legal requirements.

For demo requests, the system is designed around an intended 90-day cleanup period, subject to operational, security, and legal requirements.

Privacy Requests and Grievances

After using our internal grievance process, you may have the right, where applicable, to approach the Data Protection Board of India in accordance with applicable law and officially available procedures.

Organization Administrators

When Mooi is used through an organisation, the organisation’s authorised administrators may manage membership, permissions, and workspace information. Some workspace-data requests may need coordination with that organisation.

Children’s Data

Mooi is intended for business and organisational use and is not designed for individuals under 18.

The service does not intentionally seek children’s data. If such data is identified, it may be restricted or removed as appropriate.

Policy Updates

We may update this Privacy Policy when services, processing practices, or legal obligations change. We will publish the revised policy with a new Last updated date and provide additional notice where required.
